About us

The COVID-19 outbreak has turned the world upside down. Populations in low- and middle-income countries are facing new challenges to survive. Additional support for food, medicine, hygiene, and other necessities is needed to help the most vulnerable.

By establishing the Shazia Ijaz Foundation (SIF), we have taken an initiative to save the poorest from this pandemic and its consequences.

GENERAL

Nature of the organization:

The Shazia Ijaz Foundation is a non-political, non-religious, non-sectarian, voluntary social welfare organization.
It may collaborate with other organizations working toward similar goals.

POLICY PLAN

Working area:

The foundation’s activities primarily focus on providing aid in Pakistan. Members of the Pakistani community living in the Netherlands can also contact the foundation for support and advice.

Goals and objectives :

The Foundation operates on a non-profit basis. Funding comes from grants, donations, and in-kind gifts.
The Foundation aims to help those most in need, reduce poverty, increase literacy and skilled labor relations, encourage art, music, and sports, and raise awareness of important issues.
The Foundation will achieve its objectives by undertaking the following activities free of charge:

  • To provide people with food, medicine, clothing and (other) household items where they are affected by extreme poverty, natural disasters and epidemics, including the recent Covid-19 pandemic;
  • To provide education to poor children/adults by opening schools/educational institutions and providing tele-education;
  • To provide technical training to unskilled youth and adults, including transgender and disabled people;
  • Providing grants in the form of microcredits for small businesses;
  • Opening public libraries, sports clubs, art and music academies;
  • Organizing trainings, camps and other activities to raise awareness on important issues such as disease prevention, healthy living, education, environment, women empowerment, poverty reduction, youth leadership, etc.;
  • Other activities within the framework of the objectives of the Foundation.

  • Providing food parcels
  • Providing medicines
  • Furnishing of school buildings
  • Providing teaching materials
  • Teacher compensation

Short term plans:

  • Seeking cooperation with other (inter)national aid organizations
  • Providing training to women to promote self-reliance, including through the provision of microcredits.
 

Organizational structure

The organization consists of:

  • Board of Directors: The Chairman, Secretary General, and Secretary of Finance form the executive board. Members of the Board of Directors continue to serve as long as they are willing and physically and mentally able to do so.

The board will not receive a fixed salary, but is entitled to travel and accommodation expenses.

  • The Board of Directors will appoint a paid director who will lead and oversee all of the organization’s projects.
  • Paid Staff: This will be hired or terminated under conditions as described in Article 5B(ii) or 5D, E.
  • Volunteers: These are hired or dismissed under the conditions described in Article 5.

Powers and functions

The Board of Directors consists of:

  • The Chairman:

The founder will assume the role of chairperson. They will be the face and head of the organization. They will chair all internal meetings and be responsible for planning. They will also represent the organization locally, nationally, and internationally.

The Council will be the final authority in making all agreements/terminations and decisions regarding the organization’s work and projects.

  • The Secretary General:

The Secretary-General is the administrative head of the organization. He or she will convene meetings, take minutes of meetings, and be responsible for internal and external communications, whether paper, electronic, or oral. He or she will issue notices of instructions from the Council and the Board.

  • The Financial Secretary:

The financial secretary is responsible for keeping track of the foundation’s contributions and deductions, in the form of subsidies, donations, gifts, and expenditures such as salaries, bills, rent, allowances, taxes, etc.

The Board of Directors is the highest authority. As a team, they will jointly formulate policy, make decisions, raise funds, and represent the organization in various forums and among peoples, communities, and other organizations.

Meetings:

  • The Board of Directors meets at least quarterly to discuss evaluation and planning. The Board of Directors may invite one or more paid employees or volunteers to such a meeting.
  • The Board of Directors may, if necessary, decide to hold other regular or irregular meetings.

Paid staff:

The Board of Directors will employ an operational project director or other personnel as necessary.

  • Project Director/Project Managers

The director works under and at the direction of the Board of Directors. He/she will manage and oversee all of the organization’s projects. His/her responsibilities include planning and implementation, review and assessment, supervision, supply of supplies, and reporting to the Board of Directors.

He/she will also represent the Chairman and the Board of Directors in meetings at various forums and will be entitled to a fixed salary, as well as reimbursement of travel and accommodation expenses.

The Director is accountable to the Board of Directors for the duration of the term described in the employment contract.

  • Others:

The Board of Directors will appoint additional staff, such as supervisors, teachers, trainers, coaches, librarians, drivers, cleaners, etc., at the request of the project director or responsible project leader.

Appointment term of paid staff:

The Board of Directors only appoints paid staff for a clearly defined term, i.e., three months, a year, or for the duration of specific projects. The Board of Directors regularly evaluates their performance (quarterly/annually, etc.) and may terminate positions based on misconduct or inadequate performance.

Termination of paid services:

  • The Board of Directors has the authority to dismiss the Director or any other paid staff member with one month’s notice.
  • The Director of Operations or the responsible Project Manager cannot dismiss a paid employee, but can only send a report or recommendations to the Board of Directors with a proposal for termination of employment.
